INTRODUCTION

This policy applies to both registered Users of MyWorkLife and general visitors to the MyWorkLife website (individually and collectively referred to in this policy as “the Service”). This policy explains how we protect personal information made available by you. For purposes of this policy, “personal information” means all personal information that identifies you, including your name or email address.

The terms “you” or “User” refers to both website visitors and registered MyWorkLife Users. The terms “we” or “our” refer to MyWorkLife.

This policy may be updated from time to time at our discretion and changes will become effective upon posting to the site. We will post a prominent notice on the MyWorkLife website to notify you of any significant changes to our Privacy Policy. Your continued use of our Services after publication of that notice will mean that you accept those revisions and updates.

Whenever you use the Service, contact us electronically, import data or use any of the facilities offered by us or any affiliated party, or authorize another social media platform (like Facebook, Google+, Twitter and LinkedIn) to share information with us, we will collect, record and process your personal information.

We are committed to maintaining the confidentiality, integrity and security of your personal information and use both technological and procedural safeguards, including strong encryption techniques, authentication procedures and firewalls, to protect the security, integrity and privacy of your information.

PROFILE AND ACCOUNT INFORMATION

When registering as a User of MyWorkLife you are required to supply certain information, including your name, an email address, a password and a role description (collectively your “Profile Information”). You must provide accurate and true Profile Information about yourself when you register for the Service and keep this information including your personal contact details up to date. If you do not do this, the effectiveness of the Service to you will be affected.

USE OF YOUR PERSONAL INFORMATION

MyWorkLife and the third parties that are referred to in this policy shall use your personal information only:
• to provide the Service to you and to fulfil your specific requests;
• to analyse Service usage and to improve the Service;
• to send notifications and communications to you;
• to uphold the MyWorkLife Terms of Use;
• to monitor and detect unauthorised use or other unlawful activities;
• to process your entry into any promotional competitions we may run from time to time; and
• for any other purposes expressly provided for in terms of this Policy.

We may disclose your personal information without your express consent where we are required to do so by law or a court order, if such use or disclosure is in the public interest, if such use or disclosure is required to uphold the legitimate interests of ourselves or a third party or if your implied consent is reasonably determined to have been given in the circumstances.

PRIVATE TENANCIES

When you join MyWorkLife Business, your Tenancy is defined by your company or organization’s email domain. To join a Tenancy, you must confirm your email address. For example, the “ABCcompany.com” Tenancy would include all users who sign up with an “ABCcompany.com” email address.

Only the people in your own Tenancy can view your User profile and feeds. Access to our database is granted only to our developers on a case-by-case basis to troubleshoot specific technical issues, or as may be required by law.

USER GROUPS AND FORUMS

If you post content to a page or comment on another User’s posts, or post content to a User forum, group, blog, news feed or wiki that is accessible via the Service, your views will be available to all persons who can access that page, forum, group, blog, news feed or wiki. If you publish any of your personal information to any of these locations, MyWorkLife will not be responsible for how other people make use of or process that information.

USAGE DATA

When you use the Service, we may collect technical and other user data, including type and version of operating system and browser used, Internet protocol addresses, the website pages visited and the time spent on the MyWorkLife website. This data may be used, for example, to identify software compatibility issues, or it may be analyzed to improve our website design. We may also log your location in order to identify your time zone for time-sensitive tasks like the sending of daily emails. We may gather additional data using cookie technology. “Cookies” are files that are stored by your browser on your computer’s hard drive. Cookies may be used, for example, to limit the amount of times you see a particular advert or to help remember your personal settings and preferences. If you block cookies from being stored on your computer, the functionality of the Service may be negatively affected. MyWorkLife, or third party service providers acting on our behalf, may use the technical and other user data we collect to analyze and improve our website design, the functionality of the Service and to help us measure the performance of our online advertising campaigns.

ANONYMOUS AND AGGREGATED DATA

MyWorkLife may process and disclose anonymous or aggregated personal information to third parties, including statistical trends. This information will not identify you individually.

ENCRYPTION AND SECURITY

When you login to access controlled components of the Service all data communications sent between your computer and MyWorkLife.co.za are encrypted using secure socket layer technology (SSL) to prevent unauthorized interception of your personal and confidential information.

You are responsible for maintaining the confidentiality of your Login ID and Password. We recommend using secure combinations of lower case and upper case alphabetic, numeric and special characters that are not easy to guess and avoid any use of passwords that make use of your name, date of birth, other significant dates or your identity number and that you change your password periodically. You must not provide your account credentials to any third party. If you suspect they have become known to anyone else, you must notify us immediately. We shall have no liability to you where you fail to keep your Login ID and password secure.

SOCIAL MEDIA

Where information about you that you have authorised a social media platform (like Facebook, Twitter, Google+ and others) to share with us is governed by the privacy policies of that platform, we shall only process and retain such information as we are permitted to in terms of those policies or in accordance with the express permission that you may give us.

THIRD PARTIES

Where we make use of third party service providers to help us provide the Service to you, including for the purposes of delivering notifications or other messages to you or for hosting or providing a component of the Service, we require such third parties to maintain the confidentiality of any personal information we provide to them for these purposes.

Where you choose to submit your personal information to third parties who advertise on our website or through the Service, including banks, credit providers and insurers, you should check the privacy policies of those third parties to establish how they will treat and protect your personal information. This privacy policy applies only to the personal information that you submit to us. We exercise no control over how your personal information may be stored, processed or used by third parties.

COMPETITIONS

Where you participate in any promotional competitions that we may run from time to time, including in conjunction with third party sponsors and prize givers, the terms and conditions of these promotional competitions will advise you whether we may disclose any personal information you submit to third party sponsors and prize givers. You will not be automatically entered into any such promotional competitions that entail the disclosure of personal information to sponsors.

TERMINATION OF MEMBERSHIP

If you terminate your membership of MyWorkLife, we will delete your personal information from our active production servers. However, portions of your personal information may be retained in back-ups and archives for an indefinite period to assist us in meeting our legal compliance obligations. We may also continue to use anonymous or aggregated data for an indefinite period to analyse and improve the Service. In addition, any content you posted to a page, group, blog, news feed or wiki that remains accessible to other Users will not be deleted.

COMMUNICATIONS WITH YOU

We communicate with our Users primarily by email and other messaging applications. You may opt out from promotional communications from us that are not strictly related to the provision of the Service to you.

PERSONAL INFORMATION OF CHILDREN

We do not knowingly collect personal identifiable information from anyone under the age of 18. If it is discovered that we have collected personally identifiable information from someone under 18 we will delete that information.

CHANGE IN OWNERSHIP

You give permission that if there is a change of ownership at MyWorkLife, then your personal information can be transferred to the new owner, provided that the new owner will not dilute your rights and obligations regarding the personal information as set out in this Privacy Policy that had been collected before such transfer.
